Overview
Donations are no small matter and Vonigo ensures that users can keep track of all their donation-related details. The donation feature lets users deal with receipts and records through a simple system of buttons. With a few clicks, your donations will be as neat and organized as ever.
Activate the Donation Feature
To enable the Donation feature, please contact your Vonigo Customer Success team.
Note:
Once the Donation feature has been enabled, you can also:

Capture items in donations, in which receipts will also become available

Configure donation receipts
-
Record franchise-level donation vendors
-
Access the donation panel will be visible on a work order and client level
Donation Facility Options
Donation Facility Type
Users can determine their donation facility type through these next few steps:

Click on Setup in the navigation menu.

Click on Inventory.
-
Click on Donation Facility Type.
-
Click on Add New Donation Facility Type.
Note: Donations can be accessed and set up only when the donation feature has been activated.

Fill in the Type field then click Update.
Donation Facility Fields
Users can define a custom data structure for their donation facility through the next few steps:

Click on Setup in the navigation menu.

Click on Inventory.
-
Click on Vendor Fields.
Note: The Donation Facility data can be defined along with the other vendor-like objects such as Disposal and Recycling Facilities, corporate and franchise vendors, and more.
If the donation feature has been activated, the donation facility type will be visible.
Donation Items
Users can capture items on their donation tickets.
Note:

Once the Donation feature has been enabled, you can also activate the donation lists and configure the donation lists on a franchise and corporate level.

If the donation list option is not activated, donations will remain on the list where the donation quantity of the items cannot be provided (though this might be preferable in some use cases).
Donation Items List
Users can manage the corporate list of a donation item. In order to access the feature of both donation and donation item capture, global flags have to be activated.
Adding and Editing Donation Items
The following steps will help you set up, manage and add or edit corporate donation items:

Click on Add New on the Actions Menu.

Fill in the fields then click Add New (if you’re adding) or Update (if you’re editing).
Note:

All required values (indicated by a red dot) must be filled.

The name of the item has to be unique amongst active donation items.
-
Once created, items instantly becomes available to all franchises for the subsequent setup.
-
No default assignment of the newly created item will be performed.

Note:
When Editing Items:

Volume can be measured in square feet with the ability to provide up to 4 decimal points.

Weight will be measured in either pounds or metric tonnes with the ability to provide up to 4 decimal points.

Weight and volume will be defined corporately and can be changed in donation receipts only if the checkbox "Custom Entry" is on.
Donation Appearance Templates
Donation Appearance Templates List
Users can access donation receipt appearance configurations through the following steps:

Click on Setup in the navigation menu.

Click on Inventory.
-
Click on Donation Receipt Appearance.
Note: The interface enables to navigate to an existing template.
Editing Donation Appearance Templates
Users can edit the donation receipt appearance configurations. When a new record is created, data will be defaulted from the primary template and can be subsequently modified. Once a template is created, it can be linked to the client type and or client master records.
Donation Appearance Templates Master
Users can configure the donation master templates. When a new record is created, its data will be defaulted from the primary template and can be subsequently modified. Once the template is created, it can be linked to the client type and/or client master records.
Setting Up Masters
Apply a default template to an account master linked to the customer type or customer type/franchise by following these steps:

Click on Setup in the navigation menu.

Click on Client.

Click on Client Master Setup.

Scroll down and fill in Quote Template under Default Templates. If more than a single template is configured, you can apply a default for a specific client type.
Note:

If you have your Franchise feature enabled, you can also setup masters for the specific client type/franchise.

On the individual client record via the account master, the same adjustment can be done for client master.
Donation Franchise
Donation Franchise Facilities
To enable the franchise donation facilities feature, please contact your Vonigo Customer Success team.
Note:
Once the facilities feature is enabled, you can also:
-
Configure if a donation facility provides a tax-deductible receipt or not
-
Access a new panel, “Donation Items Accepted", for donation facility
-
Access a list of all donation items (added in the corporate level)

Update rates and pinned statuses.
Donation Franchise Facilities' Items
Users can setup facilities items with the donation feature. The franchise feature will assign donation items to the donation facility. You can see a list of all the donation items (added in the corporate level) in this section.
Clicking on individual rows will let you update rates and pinned statuses. If an item is pinned, it will show on top during the addition of a donation receipt.
