Overview
Client contact is one of many fields that can be included in a quote printout. The printed contact is populated based on the type of contact associated with the client account. The printed contact details can be customized for different client contact types, such as booker, billing, on-site, etc. This is useful when the client has multiple contacts serving different purposes.
Accessing Quote Appearance
Contact types are set up specifically per appearance template and can be configured through a quote appearance template page. Follow these steps to configure the contact type:
- Click the Setup menu on the sidebar.
- Click the Prices & Finance section.
- In the quoting group, click Quote Appearance.
- Select the quote templates that you want to modify.
Customizing Contact Type
- In the quote template, find a section called Client Data.
- Find a Contact dropdown and select the client contact type
Customizing Client Contact Profile
- Click the Account menu on the sidebar.
- Select the appropriate franchise context.
- Select an account listed in the table.
- Scroll down and find the Contacts section. You can add or delete multiple contacts as you wish here.
- To customize the contact types, click on one of the contacts listed on the table.
- In the Details section, click edit.
- Select the contact types that you want to associate with the contact. You can assign multiple contact types for a contact as needed.
Note: You might see the difference in contact type options. This happens because not all contact types apply to all client types.
Behavior During Quote Creation
When the quote is created, the system looks at the client profile and then at all active contacts to which such a type is assigned.
- If a single contact is found, the contact detail will be populated in the quote's contact field.
- You can select the desired contact through a contact selector if multiple contacts are found. By default, it selects contacts based on the associated work order.
- If no contacts are found, the contact field will be empty and should be populated at the time of quote creation.
When the Use Selected Contact Data is checked, the designated fields are refreshed when the contact changes.
