Work Order - Crew Assignment
This article will teach you how to set up crew assignments for your work orders.

Crew assignment allows users to allocate specific set crews to different work orders. The various configurations allow for flexibility, speed, and ease in adjusting and assigning tasks, whether long-term or on a daily basis.
Setting Up Crew Assignments for Work Orders
To set up crew assignment:
- Please get in touch with your Vonigo Customer Success Team to activate the crew assignment feature.
Configuring Daily Crew Assignment
Daily Crew Assignment can be used when crews are not being assigned permanently on a work order. This allows for assignment as needed, either on the day of or shortly before that. The system assumes that no crews are being formed for long-term purposes and that assignments are for daily use. Typically, this is used in the junk and moving industry, where labor resources are constantly being adjusted to the volume of work at hand.
To configure daily crew assignments:
Click on Schedule from the left navigation menu.
Select your desired day by clicking on the left and right arrows.
Click on the Route Name.
Click on Daily Crew Assignment.
Note: if the crew members associated with the work orders are scheduled for this route/day, their names will be shown under Crews Assigned. If there are no crew members assigned, "No crew assigned" will be shown instead.
If up to 5 crew members associated with multiple roles are assigned via daily crew assignment, the system will present them as a list sorted by their crew roles and then their names in alphabetical order.
If more than 5 members are assigned to the same role, the members will be listed in a random order.
If more than 5 crew members are assigned for the same day to multiple rows, the system will present expandable sections for each role with the member count of each role assigned.
To assign a crew member, tick the box beside their name on the left side of the screen under Available Crews.
Once assigned, the selected crew member’s name will appear under Assigned Crews on the right side of the screen.
Click on the drop-down menu next to their name to switch between assigned roles.
Available crew names will be set to the default crew role associated with the crew member as set in Crew Roles under User Security in Setup.
If the Crew Assignment option is activated, only crew members with set availability will be visible under Available Crews.
Note: All non-customized assignments for the work orders of this route/day will be changed to reflect any configurations made.
Configuring Actual Crew Assignment
Unlike Daily Crew Assignment, this option requires frequent adjustments of the user assignment during the day and precise tracking of the users. This assignment is based on the unique list of crew members assigned to their respective work orders. The crew assigned will also be taken from the work order assignment rather than the default user assignment on the user profile.
Configuring Permanent Crew Assignment
This is the default logic of the crew assignment in the system. These crew assignments permanently assign crews to selected routes. To configure permanent crew assignments:
Click on Business Unit from the left navigation menu.
Under Operational Settings, click on Routes.
This will bring up a page called Routes. Select your desired route.
Scroll down and click on Crews. A drop-down will appear.
Manually select members' names to individually assign them or click on assign crews to assign all listed crews.
Click OK to confirm.
- All non-customized assignments for the work orders on this route in the future will be changed to reflect any configurations.
- The assignment will be changed from today onwards.
